Job Description: 

This position is a member of the PACT multidisciplinary team with responsibility for support services to the PACT team and consumers.

EXAMPLES OF WORK PERFORMED:

Create a warm and welcoming environment by greeting individuals who present for services or assistance. Answer telephone calls Monday through Friday 8:00 am to 5:00 pm. Returns phone calls and pages promptly and checks and respond to email daily. Coordinate communication between the team and consumers; get answers to questions for consumers, families, community resources, and agencies.

Participate as a member of an 8:00 am daily (M-F) organization staffing to coordinate daily schedule and communicate consumer information.

Maintain insurance information and run eligibility checks for all consumers on the first of each month. Send prior authorization initial requests for each new consumer on the first day of admission. Send prior authorizations extension requests every 6 months after admission for each consumer.

Prepare and maintain a consumer listing with current consumer information. Publish an updated listing the 1st of each month.

Sort, route, and prioritize incoming mail and faxes with distribution to appropriate staff. Prepare interoffice mail for pickup Monday, Wednesday and Friday before 1:00 pm.

Submit office supply orders monthly and maintain unit supplies, equipment and furniture.

Communicate IT concerns and needs between PACT and NorthCare.

Prepare and maintain daily consumer logs for organization staffing.

Maintain backup records as needed in program shared drive.

Monitor daily schedule to ensure all provider progress notes are completed.

Maintain referral files and prepare acknowledgment letters to referral sources. Prepare and update daily a listing of referrals and their disposition.

Prepare letters to request medical records on all referrals and new consumers and fax or mail requests to the proper facilities.

Track submission dates of treatment plans and assessments.

Forward admission and discharge information to Program Billing Specialist (PBS).

Collect daily outcome data of days hospitalized, time spent incarcerated, days employed and days homeless on all consumers. Enter outcome data on consumer’s longitudinal face sheet and in the DMH data base within 48 hours of receipt of information.

Maintain a clean and orderly reception area with all consumer information kept in a confidential manner.

Immediately report any unusual behavior by a consumer to the Team Leader. In cases where a potential for harm exists, immediately consult with management staff or available therapist to connect consumer with appropriate intervention(s).

Comply with all Agency Policies and Procedures. Maintain all agency, accreditation agency or funding source required postings with most current information displayed.

Maintain consistent work attendance and contacts supervisor on a timely basis for needed late arrivals or absences.

Attend Advisory meetings to take, transcribe and distribute minutes of the meeting.

Perform other duties as required and/or assigned by the Program Manager/Team Leader, Program Director or PACT Psychiatrist.

Job Requirements: 
Qualifications POSITION REQUIREMENTS: Possesses high school diploma or GED and one (1) year experience in an office setting with 6 months experience in the field of human service or experience as an inpatient unit clerk or in a medical office. Must possess good organizational and problem solving skills and demonstrate sound judgment. Knowledge of billing and accounting procedures, medical records, personnel policies/ procedures and knowledge about the PACT concept of care preferred. Must possess skill in the MS Word processing software and intermediate general computer skills. Must possess basic computer skills, including ability to login to the NorthCare website and perform general word processing (i.e. typing, spell check, copying, pasting and saving information). Must demonstrate good interpersonal skills and the ability to effectively communicate verbally with English-speaking consumers. Must have and/or complete the Core Level Co-occurring Training and Trauma informed training via MyLearningPointe within 60 days of employment with NorthCare. Must complete all assigned modules in within 60 days of employment. Casual professional dress is required. Must be able to bend, stoop and move about facilities freely, climb stairs, lift up to 20 pounds and sit for extended periods. Must obtain and maintain current CAPE certification. Must have current (within past year) TB test; or obtain within 30 days of employment with NorthCare.
